GWS – Groups

Google Groups allow emails to be sent to a collection of individuals. For example, the board, members, etc. Functionality can also be assigned at the group level.

SAPAA Uses the following groups:

Administrative Groups

[YEAR]-Board: Current year’s board

  • Description: Current Board. A new Group is created each year. Some individuals will be part of 2+ groups while others will be abandoned to a prior year(s) as they roll off the board.
  • Purpose: Emailing, allow shared drive access.
  • 2025Board@sapaastewards.com: Board members
    • Contact: all but public
    • View conservations: Group Members+
    • Who can post: Group Members+
    • View Members: All
    • Manage Members: Managers
    • Join: by invitation only
    • No External members

Area-Trusted

  • Description: Members of this group can write to the protected area directories.
  • Purpose: Access and permissions to resources.

    • Access Type: Team/Custom
    • Contact: all but public
    • View conversations: Group Members
    • Who can post: Organization
    • View Members: Organization
    • Manage Members: Managers
    • Join: any can ask to join
    • No External members

GWS-Admin

  • Description: SAPAA – GWS administrators. This is an enduring group which contains one or more individuals.
  • Purpose: Access and permissions to resources.

  • Description: Manages Google Photos application. Works with the System Administrator to maintain proper documentation and periodic reviews.
  • Purpose: Administrative access to Google Photos.

[YEAR]-[01/02]-CSL

  • Description: Individuals from a University of Alberta Community Service Learning (CSL) class project. 01 refers to the Winter (January to April) semester and 02 to the Fall semester.
  • Purpose: Allow access to emails and a directory; read only access may be provided to other directories.
