GWS – Applications

Google Workspace (GWS), via Organizational Units (OU), allows users to access different applications. This policy identifies which apps are currently shared.

GWS has a rich set of applications, most of which SAPAA never use. This describes which applications are turned on, off, and are potential future applications. In principle, the fewest number of applications have been made available to reduce the potential for error.

Apps Turned On – All Users

The following applications are turned on for all users:

  • Core Apps: Gmail (email), Calendar (scheduling), Drive (cloud storage), Docs (document editing), Sheets (spreadsheets), Slides (presentations),
  • Program Related Apps:
    • Geography: Google Earth, Maps, My Maps
    • Site Inspections:
      • Google Tables collaborative database tool
  • Collaboration Apps: Meet (video conferencing), Chat (instant messaging), Jamboard (visual collaboration)
  • Optional Apps: Forms (online forms), Sites (webpage creation), Keep (note-taking), Google Vault (data retention and eDiscovery)
  • Productivity Apps:
    • Keep: Quickly capture what’s on your mind and get a reminder later at the right place or time.
    • Canvas: drawing and graphics tool.
    • Arts and Culture: access free images, etc. of art works.
    • Books: Access books and magazines.
    • Google Assistant: voice-activated service that can help you with tasks like searching the internet, making calls, and setting reminders
    • Google Public Data is a collection of public-interest datasets that can be accessed, explored, and visualized using the Google Public Data Explorer
    • NotebookLM: AI-powered research assistant from Google that helps you understand complex information
    • Google Pinpoint: research tool that helps journalists and academics analyze large collections of documents
    • The Google Play Books Partner Center: platform for authors and publishers to submit their books to Google
    • Google Question Hub: allows content creators, like bloggers and writers, to access a collection of unanswered user questions from Google Search

Apps Turned Off – Users Other than Admins

The following applications are turned off for all users but may be provided on an exception basis or as SAPAA matures.

  • Blogger: Use website blog functions instead.
  • Campaign Manager: has potential but too much for now.
  • Chrome Remote Desktop: not relevant to SAPAA
  • Classroom: turn on to support Webinars, etc.
  • Colab: Python script emulator.
  • CS First: Teaches computer coding to children.
  • Google Socratic: uses artificial intelligence to help students understand their schoolwork by providing answers to questions they ask through text, voice, or by taking a picture of a written problem
  • Voice: Virtual phone system
  • Sites: Create websites
  • Read Along: reading app for Android that helps children have fun while they learn to read
  • Google Fi: wireless service that offers phone plans
  • Google Pay: mobile payment service
  • Google Scholar profile: free, customizable way for researchers to showcase their academic publications and citations
  • Google Trips: travel planner and guide app
  • Managed Google Play: version of Google Play that’s designed for enterprises
  • Merchant Center: helps businesses promote and sell their products online.
  • Google third-party app backup: allows users to back up data from third-party apps to their Google Drive account; revisit with Alltrails, etc.

Administrative Applications

  • Campaign Manager: has potential but too much for now.
  • Classroom: turn on to support Webinars, etc.
  • Feed Burner: is a web feed management service primarily for monetizing RSS feeds, primarily by inserting targeted advertisements into them.
  • Early Access apps: provide Google-developed products and services available to their organization
  • Google Ad Manager, Ads, AdSense: monetize a website, potential for future use.
  • Google Analytics: website statistics, potential turn on with maturity.
  • Google Business Profile Manager: Manage online details and presence.
  • Google Developers: a collection of resources and tools for software development
  • Google Domains: a domain name registration service
  • Google Material Gallery: collaboration tool for UI designers
  • Google Search Ads 360: helps businesses manage their paid search ads and other advertising campaigns across multiple channels and search engines
  • Google Search Console (GSC): website owners monitor and improve their site’s performance in Google Search results
  • Google Partner Dash: service that provides applications for Google partners to manage their relationships with Google
  • Google’s Programmable Search Engine (PSE): creates a customizable search engine for their website, blog, or collection of websites
